Event Production Manager, Production and Operations (Back of House)

Job Summary: The Manager, Back of House leads, manages and oversees the back of house department and all conference venue build out logistics, design, visuals, floor plans, and spacial elements for the TED Conferences produced in the USA and Europe.

Areas of supervision and management within BOH department include:

  • Lead venue site inspections; assess space, dimensions, measurements, accessibility
  • Detail spatial constraints and outline potential room/area allocations for conference meetings, social and event spaces 
  • Oversee proposal, design and implementation of various event space structures and capacities
  • Oversee and manage Design Associates in developing design concepts, floor plans, 2D/3D renders, mood boards, sponsor activation sites
  • Develop electrical plans and orders for adequate power distribution
  • Develop internet diagrams to provide adequate hard-wired and wireless attendee and staff coverage
  • Manage and direct team with RFPs for vendors (furniture, IT, tenting, computers, printers, A/V, peripherals)
  • Manage build-out vendors, handle quotes, contracts and negotiations
  • Manage and maintain  accurate and precise organization, documentation and filing of all venue build-out components
  • Manage and maintain events/conference build-out budgets and post-conference budget reconciliation
  • Oversee management of warehousing, shipping, directional signage
  • Research future event/conference venues
  • Main liaison with conference venue(s) for all build-out elements, including room/space allocations and space confirmations, power requirements, communications systems, load in and load out schedules
  • Manage venue contracts and terms of agreement, venue & vendor insurance coverage
  • Develop risk assessment plans, including safety & security of installation and tear downs
  • Develop and manage critical paths, work plans, timelines and production schedules
  • Supervise load-in/load-out of event/conference crews, vendors, sponsors
  • Post-event analysis, evaluations and recommendation reports

Supervisory Responsibilities:

Manage, lead and motivate team of 3-5 staff, including:

  • Supervising and managing the back of house team
  • Daily & weekly check-ins
  • Conduct team performance reviews
  • Manage team workload; divide and delegate workload and tasks
  • Keep team motivated, productive and working efficiently
  • Create and maintain department policies and procedures
  • Ensure team contributes to and adheres to company and department policies and procedures

Qualifications and Experience:

  • Minimum 5 years experience working in operations/logistics/venue build-out area of corporate events, conferences, festivals or trade shows
  • Minimum 2 years managing support staff
  • Broad knowledge of logistical/operational components of events & conferences
  • Must be highly skilled in AutoCAD
  • Proficiency with Photoshop, Illustrator, Vectorworks, MS Office Suite, Mac and advanced Excel
  • Certificate or Bachelor’s degree in related field (Event Management, Interior Design, Construction Management/Technology, Communications, Business)

Skills and Abilities:

  • Proven experience managing logistical aspects of corporate events/ conferences/trade shows
  • Strong project management, administration, organizational and planning skills
  • Ability to devises and implements well thought-out, logical solutions and back up plans
  • Proven experience handling site inspections and devising onsite risk assessment plans
  • Proven supervisory and management skills; ability to lead & manage teams and keep team on track and accountable
  • Ability to analyze, develop, and maintain efficient and accurate work flow and administrative processes
  • Ability to provide high level of accurate, efficient and timely results and services to staff, Directors, and Clients
  • Ability to work well under pressure, meet tight deadlines and work on multiple projects simultaneously
  • Ability to foster a cooperative work environment, be a collaborative team player and maintain a positive attitude
  • Proven ability to be resourceful and detail-oriented
  • Polished and professional presentation, written and communication skills
  • Ability to learn new software programs quickly
  • Ability to work long hours pre/during conferences and able to stand on feet for extended hours
  • Ability to travel for work minimum three times per year for up to 12 days at a time
  • Ability to lift and carry at least 20lbs and do hands-on physical work
  • Pursues excellence in all aspects of business
  • Must have valid passport
  • Must have Canadian work permit
